Project Coordinator
Self-Employed Contract – 12 Months | Part-Time (Monday to Friday, 4 hours per day)
Location: Hybrid – Remote working plus regular local presence in Galashiels.
Fee/Rate: To be agreed, based on experience.

BID for Galashiels is a dynamic Business Improvement District dedicated to enhancing the vitality, visibility, and prosperity of our town centre. Working closely with local businesses, community organisations, and regional partners, we deliver initiatives that make Galashiels a better place to live, work, visit and invest.
Purpose of the Role
The Project Coordinator will provide essential operational and administrative support to ensure the smooth, efficient running of BID for Galashiels. Acting as a central point of contact, this role keeps projects, communications, and governance aligned and on track.
Key Responsibilities
Support and coordination of events – internal and external.
Support all Board matters, including preparation of meeting agendas, notes, and follow-up actions.
Oversee the BID email inbox and respond to day-to-day enquiries.
Maintain and manage internal databases and contact lists.
Oversee finance administration, including invoicing and expense monitoring.
Manage internal communications, including BID for Galashiels website updates
Support day-to-day delivery of Digital Town initiatives.
Liaise with other BID towns, Scotland’s Towns Partnership, and Scottish BIDs
Lead project support for the Vacant Shop Academy, including landlord support, lettings coordination and rates issues.
Maintain the organisation’s Risk Register.
Deliver and support marketing and promotional initiatives.
Manage “recruitment”, deployment and recognition of BID Galashiels volunteers.
Your Knowledge and Experience
Background in administration, project management, or business support.
Experience managing multiple priorities and working to deadlines.
Familiarity with commercial property management, financial processes and database management.
Awareness of Business Improvement Districts.

Critical Skills
Excellent written and verbal communication, plus strong influencing and negotiating.
Strong organisational skills with ability to work across multiple projects.
Competence with MS Office, MS Teams, social media and other digital platforms.
Accuracy and attention to detail.
Working Pattern
Monday to Friday, 4 hours per day (self-employed contract). Consistent local presence is required.
